Privacy Policy

1. About This Policy

Intellectsoft LLC and its affiliated entities (referred to here as “Intellectsoft,” “we,” “us,” or “our”) built this Policy to explain, in plain terms, what happens to your information when you visit our website, reach out to us, or apply for a role with us.

This Policy covers our website at intellectsoft.net and any related subdomains (collectively, the “Website”), as well as any information we collect when you email us, submit a form, or apply for an open position.

Our Website is intended for a business audience and is not directed at children under 16. We do not knowingly collect personal information from anyone in that age group.

This Policy works alongside our Terms of Use, and we may revise it periodically  we’d encourage checking back from time to time. Questions about anything here can be sent to appflowuae@gmail.com.

2. Our Role in Handling Your Data

Under the EU General Data Protection Regulation (GDPR), Intellectsoft acts as both a controller and a processor of personal data collected through this Website. As a controller, we decide how and why your information is used.

For hiring purposes, we work with a third-party recruitment platform, Workable. If you apply for a position through our Website, you’re agreeing that both Intellectsoft and Workable may collect and process your application materials. In that relationship, Intellectsoft remains the controller and Workable acts as the processor.

3. What We Collect

We limit data collection to what’s genuinely needed to operate the Website, respond to you, or process an application.

Information you give us directly: When you email us or fill out a contact form, we receive your name, phone number, email address, and whatever else you include in that message.

If you’re applying for a role, that typically includes your name, email, phone number, location, and the contents of your CV or application. You might also give us details about someone you’re referring for a position. In some cases, we receive information about candidates from third parties  job boards, referrals, or public sources  and we’d suggest reviewing the privacy practices of any site where you post your information.

Information collected automatically: Visiting the Website may generate some technical data, including:

  • Device and browser details (hardware type, operating system)
  • Usage data such as IP address, approximate location, referral source, and pages viewed
  • Cookies (more on this in Section 8)

4. Why We Process Your Data

We only process personal data when we have a valid legal basis for doing so  typically your consent, a legal obligation, or a legitimate business interest. Here’s how that breaks down by category:

Communications (legitimate interest) Responding to inquiries, scheduling calls, and following up on conversations. Note that calls or meetings may be recorded for internal reference.

Marketing (consent) If you’ve opted in, we may use cookies and contact details to understand how visitors use the site, refine our marketing, and send newsletters or updates about our services.

Recruitment (consent, and legitimate interest where applicable) Processing applications, matching candidates to open roles, and  only when a client specifically requests it and with appropriate safeguards  sharing relevant qualifications with a client for staffing purposes. In select cases, clients may require additional background checks (work authorization, prior history) before granting system or facility access.

Business relationships (legitimate interest) Managing contracts, invoices, and vendor or partner communications; complying with sanctions screening and anti-fraud requirements.

Corporate and investor relations (legal obligation) Where applicable, managing records for directors, officers, or affiliates, including statutory disclosures and audit requests.

Security (legitimate interest) Keeping the Website and our offices secure, preventing fraud, and protecting our intellectual property and legal rights.

5. How Your Data May Be Used or Shared

Depending on the purpose, we may collect, store, organize, or eventually delete your data. Because Intellectsoft operates across multiple regions, your information may be processed both inside and outside the European Economic Area, always limited to what’s necessary for the purpose it was collected for.

We may share your data with:

  • Clients, for staffing or qualification-verification purposes
  • Auditors, regulators, or service providers on a need-to-know basis
  • Authorities, where required by law or in connection with legal proceedings
  • Parties involved in fraud prevention or the defense of our legal rights

6. Your Rights Over Your Data

Wherever applicable law grants you these rights, you can:

  • Ask whether we hold data about you, and what it is
  • Request a copy of that data
  • Ask us to correct anything inaccurate or incomplete
  • Request deletion, where there’s no valid reason for us to keep it
  • Object to processing based on legitimate interest, including for marketing
  • Opt out of automated decision-making or profiling
  • Ask us to pause (restrict) processing under certain circumstances
  • Request your data in a portable, electronic format
  • Withdraw consent at any time, for anything based on consent

To exercise any of these, email appflowuae@gmail.com. We aim to respond within a month, and we may need to verify your identity first to keep your data secure.

7. How Long We Keep Your Data

We hold onto personal data only as long as it serves the purpose it was collected for  factoring in legal requirements, potential disputes, and the sensitivity of the information itself. Data is stored securely, both on our own servers and with vetted third-party platforms like Workable. Once there’s no legitimate reason to keep it, we securely delete or destroy it, except where retention is required by law or necessary to defend a legal claim.

8. Cookies

Visiting our Website may place small text files (“cookies”) on your device to help the site function properly, understand how it’s used, and improve the experience over time. Cookies generally don’t identify you personally on their own, though they may be linked to other data we hold.

We use a few categories:

  • Functional cookies  needed for core site features and navigation (e.g., session cookies, settings)
  • Analytical cookies  help us understand traffic patterns and improve the site (e.g., Google Analytics cookies)
  • Third-party cookies  used by partners to measure ad performance or site engagement

Some cookies are session-based and disappear when you close your browser; others persist until they expire or you delete them. You can manage or block cookies through your browser settings, though doing so may affect how parts of the site function. Browser-specific instructions are available directly from Chrome, Firefox, Safari, and other providers.
